Graduation of USU Graduates for Period I in 2024/2025

Due to the implementation of the graduation ceremony of USU graduates for the first period of 2024/2025, for successful implementation, the following matters are hereby notified.

  1. Graduation Registration 

    1.1. Graduation registration at the Faculty/Graduate School level closes on October 22, 2024.

    1.2. Submission of graduation documents from the Faculty/Graduate School to the Admissions and Academic Events Department, Academic Bureau, Floor II, BPA USU, closes on October 26, 2024, at 3:00 PM (WIB).

    1.3. The graduation ceremony for USU graduates for the First Period of the 2024/2025 Academic Year will take place on November 25 and 26, 2024.

    1.4. Heads of the Faculty and Graduate School Education Subdivisions are expected to process graduation applications in cooperation with Study Programs/Departments.

    1.5. Graduation registration is only conducted at the Faculty/Graduate School level; there is no graduation registration at the USU Academic Bureau.

    1.6. Please review graduate candidates’ biodata for accuracy, especially: place and date of birth, photo, religion, alumni number, previous school/university, thesis/dissertation title, names of Promoter and Co-Promoter, and ensure all fields are completed.

    1.7. Graduation fees are based on the Rector’s Decree No. 1465/UN5.1.R/SK/SPB/2019, dated April 18, 2019, as follows: - Non-UKT students are charged a fee of IDR 600,000.00 (six hundred thousand rupiah). 

    - Students whose tuition is based on Single Tuition Fees (UKT) are exempted from graduation fees.

  2. Final Examination To prevent delays in document submission to the Admissions and Academic Events Department, final exams should be scheduled well in advance. Students who have passed but do not meet the requirements for this graduation period are encouraged to attend the next graduation period.
  3. Graduation Requirements for Candidates: 

    3.1. Complete all required courses and pass the final program examination (if applicable).

    3.2. Settle tuition fees (SPP), outstanding balances, and graduation fees.

    3.3. Settle accommodation fees for USU male/female dormitories and any outstanding balances.

    3.4. Obtain library clearance from the USU Library.

    3.5. Hold Eligible status in the PDDIKTI system.

    3.6. Complete the data entry on https://tracerstudy.usu.ac.id/.

    3.7. Register at the Education Subdivision of each Faculty/Graduate School to: 

    - Submit a printed copy of the online graduation registration confirmation. 

    - Submit original documentation: 

    - SPP payment receipts from the first to the last semester. 

    - Proof of USU male/female dormitory payment. 

    - Library clearance from the USU Library.

  4. Head of Faculty/Graduate School Education Subdivision The Head of the Faculty/Graduate School Education Subdivision submits the candidate’s documents to the Admissions and Academic Events Department, Academic Bureau, USU, comprising:
    • A list of graduation candidates as a softcopy (CD) and a signed hardcopy by the Vice Dean I or Vice Director I in three copies.
    • Black-and-white 4x6 cm photos in PDF format.
    • Graduation fee verification report.
    • Library clearance.
    • Eligible status confirmation as per the letter from Vice Rector I.
    • Graduation call list in both hardcopy and softcopy formats.
    • Graduation call order list, with candidates graduating Cum Laude listed first.
  5. Graduation Sash and Gown Each faculty provides graduation sashes according to the number of registered graduates, distributed alongside the invitation and gown. Sash requirements:
    • Sash length of 130 cm (including the right end with Faculty logo and left end with “Faculty Alumni” text) and width of 11 cm.
    • Green color matching the USU flag, with a yellow trim.
    • Right and left ends of the sash are each 15 cm, with colors matching the respective Faculty flag.
  6. Graduation Photo for Diploma Female graduates wearing a hijab must sign a notarized statement on stamped paper (IDR 10,000) accepting full responsibility for any issues regarding the diploma.
  7. Diploma:
    • Diplomas will be presented by the Rector symbolically during the graduation ceremony.
    • For accurate information, all graduation matters should be managed by the Faculty/Graduate School Education Subdivision.
  8. Dress Code
    • Male: white shirt, black (dark) trousers, and tie (no T-shirts or jeans).
    • Female: traditional Indonesian attire (kebaya blouse and wiron skirt, no trousers or short skirts).
