The Universitas Sumatera Utara Graduation Ceremony for Period IV of the 2024/2025 Academic Year will be held on August 26–27, 2025. Graduates must fulfill all academic and administrative requirements by the designated deadlines.

In connection with the upcoming Graduation Ceremony for Universitas Sumatera Utara (USU) graduates, Period IV, Academic Year 2024/2025, the following information is provided to ensure smooth execution of the event:

1. Graduation Registration:

1.1. Registration at the Faculty/Postgraduate School level must be completed by July 24, 2025.
1.2. Submission of graduation documents by the Faculty/Postgraduate School to the Admissions and Academic Events Division, Academic Bureau (2nd Floor, BPA USU) must be completed by July 29, 2025 at 3:00 PM WIB.
1.3. The graduation ceremony will be held on August 26–27, 2025.
1.4. Heads of Academic Subdivisions at the Faculty and Postgraduate School level are expected to coordinate graduation registration in collaboration with respective Study Programs/Departments.
1.5. Registration can only be done at the Faculty/Postgraduate School level; there is no registration at the Academic Bureau.
1.6. Please ensure that graduate biodata is correct, especially the place and date of birth, photo, religion, alumni number, school/university of origin, thesis title, and the names of the Promoter and Co-Promoter. Do not leave any required fields blank.
1.7. Graduation fees according to Rector Decree No. 1465/UN5.1.R/SK/SPB/2019, dated April 18, 2019:
 1.7.1. Non-UKT students: IDR 600,000 per person for all levels.
 1.7.2. Students whose tuition is based on UKT are exempt from graduation fees.

2. Final Examinations

To prevent delays in document submission, final examinations should be scheduled properly.
Students who pass their final exams but have not fulfilled all graduation requirements by the end of registration are advised to join the next graduation period.

3. Graduation Requirements for Students:

3.1. Completion of all required courses and final examinations (if applicable).
3.2. Full settlement of tuition and graduation fees.
3.3. Full payment of USU Dormitory fees (if applicable).
3.4. Clearance from the USU Library.
3.5. "Eligible" status in the PDDIKTI system.
3.6. Data submission via https://tracerstudy.usu.ac.id/.
3.7. Registration at the Faculty/Postgraduate School Academic Subdivision by:
 3.7.1. Submitting a printout of the online registration proof.
 3.7.2. Submitting original copies of the following:
  - Tuition payment receipts from Semester I to the final semester (in order, per the graduation list).
  - Dormitory fee payment proof.
  - Library clearance.

4. Faculty/Postgraduate School Academic Subdivision Responsibilities:

Submission of graduate files to the Admissions and Academic Events Division at the Academic Bureau must include:
4.1. List of graduates in both soft copy (CD) and signed hard copy (by Vice Dean I or Vice Director I), 3 copies.
4.2. Black-and-white photo in 4x6 cm size uploaded in the PDF of the graduate list.
4.3. Graduation fee verification report per Vice Rector II Letter No. 14012/UN5.1.R2/Keu/2023, dated September 5, 2023.
4.4. Library clearance certificate.
4.5. Eligibility status as per Vice Rector I Letter No. 6223/UN5.1.R1/SPB/2023, dated April 18, 2023.
4.6. Graduation rehearsal attendance is mandatory:
 4.6.1. Faculty staff must remind students to attend rehearsal.
 4.6.2. Students who do not attend rehearsal will not be allowed to join the ceremony.
4.7. Graduation name call list in both hard copy and soft copy sent to: baa@usu.ac.id, along with the soft copy of the graduation ledger.
4.8. The top Cum Laude graduate (with the highest GPA) should be listed first in the name call list.
4.9. List of Cum Laude graduates must meet the following criteria:

Cum Laude Criteria by Program:

  • Doctoral (S3, Regular and Research): GPA ≥ 3.75; completed within 6 semesters; no grade B; per Rector Decree No. 2328/UN5.1.R/SK/SPB/2022.

  • Master’s (S2): GPA > 3.75; completed in ≤ 4 semesters; no grade C or C+; per Rector Decrees No. 2325 & 2328/UN5.1.R/SK/SPB/2022.

  • Professional Programs (Rector Regulation No. 08/2017):
     • Medicine/Dentistry: GPA > 3.75; completed in ≤ 4 semesters.
     • Other professional programs: GPA > 3.75; completed in ≤ 2 semesters.

  • Bachelor’s (S1): GPA ≥ 3.51; completed in ≤ 8 semesters; no grade D or E; with cover letter signed by Vice Dean I.

  • Diploma (D3): GPA > 3.50; completed in ≤ 6 semesters; no grade D; per Rector Regulation No. 04/2017.

5. Graduation Sash and Gown

Faculties must provide sashes according to the number of registered graduates and distribute them along with invitations and gowns.
Graduates must wear full graduation attire (gown, cap, sash) upon entering the ceremony venue.

Sash Specifications:

  • Length: 130 cm (including 15 cm on each end: right end for Faculty logo, left end for “Faculty Alumni”).

  • Width: 11 cm.

  • Base color: Green with yellow lining (matching USU flag).

  • End color accents must align with each Faculty’s flag color.

6. Graduation Photo for Diploma

Female graduates may wear a hijab in the photo, but must submit a statement letter on a Rp10,000 stamp paper, declaring they take full responsibility for any future issues related to the diploma photo and will not hold the Faculty or University liable.

7. Diploma

  • The diploma will be symbolically awarded by the Rector during the ceremony.

  • All graduation matters (registration, biodata form completion, diploma preparation) must be handled by the Faculty/Postgraduate School Academic Subdivision to avoid errors.

8. Graduation Attire

8.1. Men: White long-sleeved shirt, black trousers, tie. T-shirts and jeans are not allowed.
8.2. Women: National attire (kebaya and wiron skirt). Pants and short skirts are not allowed.
