Universitas Sumatera Utara will hold the Graduation Ceremony Period I A.Y. 2025/2026 on November 28–29, 2025. Registration is through each faculty/graduate school with applicable requirements.

In relation to the implementation of the USU Graduation Ceremony Period I A.Y. 2025/2026, the following matters are announced to ensure smooth proceedings:

  1. Graduation Registration:

    • Registration at the faculty/graduate school level closes on October 23, 2025.

    • Submission of graduate documents to the Admissions and Academic Events Section, Academic Bureau (2nd Floor BPA USU) no later than October 28, 2025, at 15.00 WIB.

    • The USU Graduation Ceremony Period I A.Y. 2025/2026 will be held on November 28–29, 2025.

    • Faculty/graduate school education sub-section heads must process registration in coordination with departments.

    • Registration is only carried out at the faculty/graduate school level. No registration is conducted at the USU Academic Bureau.

    • Graduate biodata must be rechecked (place/date of birth, photo, religion, alumni number, previous school/university, thesis/dissertation title, names of supervisor/co-supervisor). No field should be left blank.

    • Graduation fees (Rector’s Decree No. 1465/UN5.1.R/SK/SPB/2019, April 18, 2019):

      • Non-UKT students: Rp600,000 for all study programs.

      • UKT students: no graduation fee.

  2. Final Examination:
    To avoid delays, final examinations should be scheduled appropriately. Students who have graduated but not completed requirements may join the next graduation period.

  3. Graduation Requirements:
    Graduates must:

    • Pass all courses and final exams (if any).

    • Clear all tuition fees and graduation fees.

    • Clear dormitory fees (if applicable).

    • Obtain library clearance.

    • Have eligible status in the PDDIKTI system.

    • Complete tracer study data at https://tracerstudy.usu.ac.id.

    • Register at the faculty/graduate school sub-section and submit:

      • Online registration proof.

      • Original documents (tuition payment proof, dormitory clearance, library clearance).

  4. Faculty/Graduate School Responsibilities:
    Heads of education sub-sections must submit graduate documents to the Academic Bureau, including lists of graduates (softcopy and hardcopy), photos, verification reports, eligible status, rehearsal attendance, and cum laude data according to regulations.

  5. Graduation Sash and Gown:
    Faculties provide sashes and gowns. Graduates must wear complete attire (robe, cap, sash). Specifications: 130 cm long, 11 cm wide, green with yellow trim, with faculty logo and alumni text.

  6. Graduation Photo for Diploma:
    Female graduates wearing hijabs must provide a notarized statement (Rp10,000 stamp duty) taking responsibility for its use on the diploma.

  7. Diplomas:
    Diplomas will be symbolically presented by the Rector during the ceremony. All registration and diploma matters are managed by faculty/graduate school education sub-sections.

  8. Dress Code:

    • Male: white long-sleeve shirt, black trousers, tie (no T-shirts or jeans).

    • Female: Indonesian national dress (kebaya and wiron skirt), no trousers or short skirts.
